Acceptable Use Policy

No Protected Health Information (PHI)

1. Do not submit Protected Health Information (PHI) to AskMyTrials. PHI includes patient names, dates of birth, medical record numbers, Social Security numbers, exact dates, street addresses, phone numbers, email addresses, and any other identifier listed in the HIPAA Privacy Rule. This restriction applies to every input you provide: questions, eligibility scenarios, feedback, and uploaded files.
2. Describe patients only in de-identified terms. Use age ranges instead of dates of birth. Use relative timeframes such as "about 18 months ago" instead of exact dates. Omit names, addresses, phone numbers, and any identifying numbers.
3. AskMyTrials automatically detects common identifiers in your input and removes them before data is sent to a third-party service or stored. Automated detection is not perfect, and you remain responsible for ensuring your input does not contain PHI.
4. If AskMyTrials detects PHI in your input, it will block or redact your submission and record the event in your organization's audit log. Repeated attempts may be escalated to your organization administrator.
5. AskMyTrials does not accept PHI and is not a HIPAA Business Associate for clinical workflows. Your organization remains responsible for any protected information it holds in its own systems.
6. By clicking "I agree," you accept these terms for your use of AskMyTrials. If your work requires submitting PHI to a clinical software tool, do not use AskMyTrials. Contact your compliance officer for an appropriate alternative.

How AskMyTrials protects this policy

AskMyTrials enforces this policy through automated identifier detection on every input, redaction of recognized identifiers before any data is sent to a third-party service or stored, and audit logging of every detection event. If you believe PHI has been submitted to AskMyTrials, contact your organization administrator and email privacy@askmytrials.com without delay. Questions about this policy may be sent to the same address.
